MEETING ROOM POLICY
HARVARD DIGGINS LIBRARY
The meeting room(s) at the Harvard Diggins Library may be used by individuals or groups. No admission fee may be charged except to defray the costs of providing the program.
Priority:
Library sponsored programs have first priority in the scheduling of the meeting room(s).
Hours:
Meetings may be scheduled for those times when the library is open. Meetings may not be scheduled to begin at times when the library is not open and staff is not present.
Charges:
Non-profit organizations may use the meeting room for a fee of $10.00 per use.
Private groups for social occasions will be charged $35 with Director approval.
Profit making organizations may use the room for a fee of $50.
If a meeting is expected to run beyond the library’s scheduled closing time, a security deposit of $200 will be required.
Facilities available:
Community meeting room: Has a capacity of 60 persons. A small kitchen with sink, microwave, and refrigerator is available. There are six movable tables and 50 chairs for meeting room use. A podium with speaker and a piano are available. A ceiling projector, screen and computer with Internet access can be approved for use.
The conference/board room may be scheduled during library hours and will accommodate 12 persons. There are two small study rooms that can be reserved.
Refreshments are allowed in the community meeting room only. Alcoholic beverages and smoking are not allowed in the building.
Room arrangement:
Arrangement of chairs and tables is the responsibility of the organization. Furniture must be returned to its original arrangement and clean up completed before the group leaves. Charges will be made for damages or for any cleanup not done by the user.
Reservations
The meeting rooms may be reserved on the form provided. The group must provide a contact person and phone number and list the nature of the meeting and expected number of attendees.
Limitations:
Groups of individuals under 18 must have adequate supervision. Children brought to the meetings must be supervised by attendees and not left alone in the library. Library staff cannot take messages or make arrangements for the group except in cases of emergency.
Materials belonging to groups may not be stored at the library.
While staff may take reservations and supervise the use of the library meeting rooms, the City Library Board reserves the right to restrict or deny the use of the meeting room for just cause. Such cause may include infractions of this policy, meetings which disrupt the regular library usage or activities which endanger persons in the library.
